Workflow 06 · After the visit

After the visit,

Once you’re onboard, Intuo reads the note your provider signs and finishes what it started: the follow-up booked with real times, procedure prep and consents sent from your protocol, the day-before confirmation, a check-in after, refill requests routed and care gaps closed. Anything clinical goes to your nurse or provider.

Works with 20+ EHRs: athenahealth · ModMed · eClinicalWorks · AdvancedMD · Nextech · Healthie · and more

Every signed note is a plan. Every follow-up that never gets booked is a patient left waiting.

Put in your clinic’s own figures. We’d rather show you your math than quote someone else’s study.

390follow-ups your notes ask for, a month
78of them never booked, a month
39staff hours a month to book them by phone

Follow-ups = visits a week × 52 ÷ 12 × the percent of notes that ask for one. Never booked = follow-ups × the percent never booked. Hours = follow-ups × minutes each ÷ 60.

01note signed

Your provider signs the note. Intuo reads it and lists the work it creates, each item tied to the sentence it came from.

todayThe plan sits in the note.
02same day

Nothing booked in the window yet, so the patient gets two or three real times with that provider and visit type.

today“Call us to schedule.”
03until booked

No reply: a second text, then a call, on your schedule. If it waits on a scan, it holds until the result is filed.

todayRemembered at the next problem.
04booked

The pick is booked in your EHR and confirmed. A decline goes to your desk list with every text sent.

todayLost between the note and the desk.
who signs off

Nothing to approve when it books; your desk gets anything that doesn’t. Intuo checks that a result is filed, but never reads it or tells a patient it’s in.

Works with 20+ EHRs, including these and more. Where an EHR doesn’t announce a signed note, Intuo checks once a day for the visits before. Each visit and procedure type is mapped once; anything unmapped shows on a daily list, so nothing is skipped quietly.

your first 14 days

What we build, test and turn on once you’re onboard.

We work in your office beside your team for up to four weeks. Nothing runs on its own until it has worked on your real data, in front of your people.

  1. Days 1–3Your rules and protocolsWe load your follow-up rules, procedure protocols, consent forms and refill rules. Your medical lead approves every word patients will see.
  2. Days 4–7Your notes, read in shadowIntuo reads every signed note and lists the work it creates. Your team marks each item right or wrong. Nothing is texted or booked.
  3. Days 8–11Tested with your teamThe first follow-ups, prep texts and confirmations go to your own test phones, then to a small group, with every booking checked in your EHR.
  4. Days 12–14Turned onFollow-up booking, procedure prep and the day-before confirmation run for every visit. Check-ins, refills and care gaps switch on one at a time.

questions

What clinics ask first.

Do we have to change our scribe or note templates?

No. Intuo reads the note your provider signs, whoever or whatever wrote it. Keep your scribe; Intuo finishes what the note started.

What if the note isn’t signed yet?

Intuo waits. It checks again the next day, and a note still unsigned past the window you set shows on the morning list.

Does Intuo tell patients their results?

No. A follow-up can wait until a result is filed, but Intuo never reads it or tells a patient it’s in. Your provider does that.

Who writes the prep instructions and consents?

You do. We load your clinic’s own protocol and forms for each procedure, your medical lead approves them, and patients see them word for word. Every version is kept, so you can see exactly what any patient was told.

What if a patient has a problem after a procedure?

A warning sign in a check-in, a text or a late-night call goes to your on-call nurse right away, with the patient’s answers. Routine questions go to your desk inbox.

Which procedures does it cover?

Any procedure with a protocol: colonoscopy and endoscopy, injections, Mohs and minor surgery, cosmetic treatments. Each gets its own screening, prep, driver rule and check-ins.

Is it HIPAA compliant?

Yes. Intuo is HIPAA compliant and we sign a BAA with every clinic. Texts carry times and steps, never a diagnosis or a result, and every action is logged on the chart it touched.
