What clinics ask first.
How fast does it fill an opening?
The offer goes out within minutes of the cancellation reaching us. How fast a patient says yes is up to them, so once you’re live we count minutes to fill at your clinic and show you your real number.
Who gets offered first?
Your rules decide: urgent cases, new patients, the longest wait, or first come, first served. Only patients who can see that provider, for that visit, at that time are ever offered it.
Can two patients get the same slot?
No. The opening is held and checked again in your EHR before it’s booked. Anyone who says yes after it’s taken hears so right away and keeps their place.
Can patients move or cancel on their own?
If you want them to. You choose self-serve changes or desk-only, and your cancellation window and deposit policy apply either way. Any fee is approved by a person.
What about procedures that need prep?
Procedure openings are only offered to patients who can still finish their prep in time, using your own prep rules, and only when any authorization still covers the new date.
Is it HIPAA compliant?
Yes. Intuo is HIPAA compliant and we sign a BAA with every clinic before the first reminder goes out. Every text, call and change is logged against the visit it touched.
