Workflow 03 · Retention and recall

Every patient, back on their own clock.

Once you’re onboard, Intuo keeps the interval your providers set for every patient, from a yearly eye exam to a 12-week treatment, and works it before the due date. Patients who drift get a personal note you preview first. Every visit gets a check-in, and every patient is asked for a review.

your numbers, not ours

Every patient who comes due is a visit on your calendar. Or a patient who quietly goes elsewhere.

Put in your clinic’s own figures. We’d rather show you your math than quote someone else’s study.

83patients a month due and not booked
$18,260in return visits waiting on a reminder, a month
8staff hours a month to call them all

Not booked = patients coming due × (100% − the percent who book on their own). Waiting = not booked × the value of a return visit. Hours = not booked × minutes per call ÷ 60.

01visit done

A visit is completed and Intuo opens one recall: the patient, the line of care and a due date from your provider’s interval.

todayA report nobody runs.
02day −30

The first text says a follow-up is due and how to book. It never names the procedure.

todayA postcard, if anyone mails it.
03day −23 to 0

A second text after 7 days, a third on the due date. Before each one Intuo re-checks your schedule, so nobody already booked is chased.

todayCalls to patients already booked.
04closed

The visit is completed in your EHR and the recall closes with its appointment. Three texts, no reply: it goes to your desk’s call list.

todayNobody knows who came back.
who signs off

Your medical lead signs the interval table once. Your practice manager works the call list and closes each recall with a reason.

Works with 20+ EHRs, including these and more. Intervals live in a table your medical lead signs, keyed to your visit types. A visit type with no interval shows on a short list for your team, so nothing is skipped quietly.

your first 14 days

What we build, test and turn on once you’re onboard.

We work in your office beside your team for up to four weeks. Nothing runs on its own until it has worked on your real data, in front of your people.

  1. Days 1–3Your intervals, signedWe load your visit types and the interval for each, from yearly checks to 12-week treatments. Your medical lead signs the table.
  2. Days 4–7Your history, readIntuo reads your past visits, builds each patient’s rhythm and lists who comes due in the next 30 days. Nothing is texted yet.
  3. Days 8–11Checked against your listYour team compares the due list with your own recall report or the chart, and we fix every mismatch before the first text.
  4. Days 12–14Recall turned onThe first recall texts go out in your words, inside quiet hours. Win-back, surveys and campaigns switch on one at a time, each after your preview.
you stay in control

Intuo does the work. Your people make the calls.

You preview before it sends.Win-back notes, offers and campaign waves show who gets what, and the cost, before anything goes out.
Offers stay inside your cap.A win-back offer follows the rule you set, like 5% off within 30 days. Nobody gets one you didn’t approve.
STOP means stop.Patients who text STOP never get another one. Anyone already booked is never chased.
Clinical stays clinical.Recall texts never name a procedure or a result. A concern from a check-in goes to your nurse right away.

questions

What clinics ask first.

Where do the intervals come from?

From your providers. Your medical lead signs a table of visit types and intervals, and a provider can set a different interval for any patient. With After the visit on, the interval written in the signed note is used too.

Will patients who already booked get texts?

No. Before every text, Intuo checks your schedule. A patient with that visit already booked is closed, not chased.

What happens when a patient never answers?

Three texts, then the recall goes to your desk’s call list with the visit history and every text sent. Silence never turns into a fourth text.

Do you only ask happy patients for reviews?

No. Every patient is asked, whatever they scored, once your staff approve the ask. A low score also reaches your owner, so you hear it first.

Can we control discounts?

Yes. You set the cap and the window, and you preview every win-back note and campaign wave before it sends. Intuo never offers anything you didn’t set.

Is it HIPAA compliant?

Yes. Intuo is HIPAA compliant and we sign a BAA with every clinic. Recall texts say a follow-up is due without naming the procedure, and every text is logged.

How soon is it running?

Recall is built, checked against your real visit history and turned on in your first 14 days once you’re onboard. Win-back, surveys, memberships and campaigns follow one at a time.
