Workflow 01 · Front door

Every call, text and web request, answered and booked.

Once you’re onboard, Gigi answers every call in your clinic’s name, day or night, and knows the caller from your EHR. Missed calls are called back in minutes. Texts, web forms and online booking get real answers and real openings. New patients arrive with their forms done, and refill requests reach your provider ready to sign.

Works with 20+ EHRs: athenahealth · ModMed · eClinicalWorks · AdvancedMD · Nextech · Healthie · and more

your numbers, not ours

Your phone is the front door. Every unanswered call is a patient on the step.

Put in your clinic’s own figures. Your phone system’s call log has the first two. We’d rather show you your math than quote someone else’s study.

520missed calls a month
260callers a month who never call back
$65,000a month, if each would have booked

Missed a month = calls a day × 21.7 workdays × the missed percent. Never call back = missed a month × your percent. The last figure assumes every one of them would have booked, so treat it as the ceiling, not a promise.

A patient calls about Thursday’s visit. Gigi answers on the first ring, in your clinic’s name.

She knows the caller from your EHR: next visit, provider, last visit. She moves Thursday to Monday and answers the parking question.

Anything she can’t settle becomes a desk request with a summary and a proposed next step, and stays open until someone closes it.

your first 14 days

What we build, test and turn on once you’re onboard.

We work in your office beside your team for up to four weeks. Nothing runs on its own until it has worked on your real data, in front of your people.

  1. Days 1 to 3Connect your phones and EHRYour main number forwards to Gigi only when you say so. We connect your EHR so she knows callers, visits and openings.
  2. Days 4 to 7Write down what she may sayHours, services, prices, policies and who handles what, in one table your front desk lead approves. You pick her voice.
  3. Days 8 to 11Test on your real callsGigi answers beside your desk. You read the transcripts, and we fix every answer that isn’t how your team would say it.
  4. Days 12 to 14Turn on answering, booking and call-backsEvery call answered and booked, missed calls called back. Texts, web forms, new-patient forms and refills follow as you approve each one.
you stay in control

Gigi finishes the routine. Your team takes what needs a person.

Gigi says only what you’ve approved.Your hours, services, prices and policies. Nothing made up, and you can change any of it in one table.
Clinical questions go to people.Urgent symptoms reach your on-call nurse right away. Refills are approved by your provider, never by Intuo.
Consent comes first.Opt-in texting, your quiet hours, and STOP or “don’t call me” honoured on every channel.
Every conversation has a receipt.Recording, transcript, what was done and who it went to, for every call, text and web request.

questions

What clinics ask first.

Does Gigi sound robotic?

No. You pick her voice, and we set how she says your providers’ names, your services and your street. Most callers simply talk to her like they would your front desk.

What happens when a caller asks something she can’t answer?

If it’s in your approved info, she answers it. If it isn’t, or it’s clinical, she says so and hands it to the right person with a summary and a proposed next step. She never guesses.

Can callers still reach a person?

Yes. A caller who asks for someone is connected, or booked a call-back, and the person picking up sees what the call was about before they say hello.

Does it book into our system, or just take messages?

It books. Calls, texts, web forms and your booking page all write the visit into your EHR’s live calendar before the patient is told it’s confirmed.

Which languages does it speak?

English, and Spanish from wording your clinic approves. Other languages are set up the same way: translated once, approved by someone at your clinic who reads them.

Are calls recorded? Is it HIPAA compliant?

Yes, it’s HIPAA compliant, and we sign a BAA with every clinic before the first call. Calls are recorded and transcribed for your records, with a notice where your state requires one.

What happens in the first two weeks?

We connect your phones and EHR, write down what Gigi may say with your team, and run her on your real calls beside your desk. Answering, booking and missed-call call-backs turn on first.
